Volunteers

Festival volunteers, from application to check-in.

Volunteers apply in the FEST app, get their shifts and your messages there, and check in with a QR badge. You run it all from the same place as your lineup.

Spreadsheets work until Friday afternoon.

That's when a shift moves, three people text you that they can't make it, and the latest schedule is a PDF in a group chat nobody reads anymore. Volunteers in FEST is built for that afternoon, and for the three months of recruiting before it.

Recruitment

An application form that knows your teams and your dates.

Build one form per edition, in every language your festival uses. Add your own questions, let people pick the teams they want and tell you when they're free.

  • Share it with a link, or a QR code on your posters
  • Set a minimum age and a target number of volunteers
  • Open and close applications on a schedule

Selection

Accept 40 people at once, without writing 40 emails.

Filter applications by team, tag or status. Accept or waitlist people in bulk and FEST sends the emails for you.

  • Re-invite last year's team with their answers already filled in
  • Spot and merge duplicate applications
  • Import an existing list from a spreadsheet

Shift planning

Shifts that flag problems before your volunteers do.

Plan each day on a board with one column per team. FEST warns you when shifts overlap, when someone doesn't get enough rest, or when a day gets too long. You stay in charge of the final call.

  • Suggestions based on team choices, skills and availability
  • Repeat a shift across days, or copy a whole team's day
  • Publish a day when it's ready, not one shift at a time

Messages

When a shift moves, the 14 people on it find out.

Write to everyone, one team, one shift or a tag. Messages land in the volunteer's inbox in the app, with push and email if you want them. Change five shifts in a row and each volunteer gets one notification, not five.

  • Automatic reminders before each shift
  • Schedule a message for later, written in each of your languages
  • A daily email with the shifts you still need to fill

Check-in

See who showed up while the shift is still running.

Every volunteer has a QR badge in the app that opens without signal. Scan it at the check-in desk or from a team lead's phone, and see who's checked in, late or missing in real time.

  • Check in from a laptop at the desk or from a phone
  • Late arrivals and no-shows flagged automatically
  • Hours worked add up on their own

Volunteers

Volunteers is a module on top of FEST App or FEST Web, billed yearly, plus a small amount per accepted volunteer. You pay for the people you accept, not for every application. The pricing page shows the exact price in your currency.

A form collects applications. Then someone copies them into a spreadsheet, builds shifts by hand and posts updates in a group chat that half the team has muted. In FEST, applications, shifts, messages and check-in live in one place. Move a shift and the people on it get one notification with the new time.

They apply, see their shifts and get your messages in the FEST app on iOS and Android. It's the same app your festival-goers use, so plenty of them already have it. You get a link and a QR code to share on your website, social posts and posters.

Yes. One action re-invites everyone you accepted last edition, with their previous answers filled in. You can also import an existing list from a spreadsheet.

If you want them to. Publish open shifts and volunteers sign up from the app, with your approval or automatically.

Yes. Each volunteer's badge is saved on their phone, so it opens even at a gate in the middle of a field.

Volunteers own their profile and can reuse it at other festivals on FEST. Your team sees it while they volunteer with you. If someone deletes their FEST account, their data goes with it.
